Why are spreadsheets outdated?

Spreadsheets are a common tool used by many businesses, including bakers. However, as bakers know, the demands of running a bakery can be complex and fast-paced, and relying on spreadsheets to manage important information can be a recipe for disaster.

The main thing about Excel spreadsheets is that everyone’s so used to them. In the past, Excel was a great tool to be more productive and efficient at work, but today Excel has longed passed its Best Before date.

Excel certainly a nice upgrade from handling your accounting and inventory on paper. But is the spreadsheet method still relevant today?

With online software, you can collect your data and generate a financial analysis report, a sales report, or an overview of the budgets, in a few clicks. You no longer need to apply complex Excel formulas to calculate and track your sales performance.

Here are five reasons why spreadsheets are terrible for your business:

  1. Spreadsheets are prone to errors and inconsistencies. Bakers often have to juggle many different tasks at once, from managing inventory and ordering supplies to tracking customer orders and creating recipes. With so much to keep track of, it's easy for mistakes to be made in a spreadsheet, leading to incorrect data and unreliable information.

  2. Spreadsheets are not designed for collaboration. In a busy bakery, it's important for everyone to be on the same page. But with spreadsheets, it can be difficult for multiple people to work on the same document at the same time, leading to confusion and possible data conflicts.

  3. Spreadsheets are not secure. Because they are typically stored on a single computer or shared drive, spreadsheets are vulnerable to data loss or theft. This can be a major concern for bakers who handle sensitive information, such as customer data or financial records.

  4. Spreadsheets do not provide real-time data. The information in a spreadsheet is only as current as the last time it was updated, which means that it may not reflect the most current state of your bakery. This can lead to decision-making based on outdated information, which can have negative consequences.

  5. Spreadsheets are not scalable. As a bakery grows and its data needs become more complex, spreadsheets can become difficult to manage and maintain. This can lead to inefficiencies and a lack of visibility into important data, which can hinder the growth and success of your bakery.

In conclusion, while spreadsheets may be a useful tool for simple tasks, they are not a suitable solution for bakers who need to manage large amounts of data, collaborate with multiple people, or ensure the security and real-time accuracy of their information. In these cases, it's best to use a dedicated business management tool or database that is specifically designed for the unique needs of bakers.
